Forum email deliverability: get notifications out of the spam folder

Forums depend on email: account activation, password resets, and "someone replied to your topic" notifications that bring people back. If those emails land in spam, or never arrive, new members can't even activate their accounts. Here's how to fix it.
- Set up SPF, DKIM and DMARC for the domain your forum sends from.
- Send from an address on your own domain, not a free webmail address.
- Only send emails members asked for, and make unsubscribing easy.
The three DNS records that matter
- SPF lists which servers are allowed to send email for your domain.
- DKIM adds a digital signature to each message so receivers can verify it really came from your domain and wasn't changed.
- DMARC tells receiving servers what to do when a message fails SPF or DKIM checks, and can send you reports.
Big mailbox providers now expect these. Google's email sender guidelines require all senders to have SPF or DKIM, and bulk senders to have SPF, DKIM and DMARC plus easy unsubscribe. Yahoo's sender best practices have similar expectations. Your web host or email provider usually has a guide for adding the records.
Forum-specific checklist
- Use SMTP, not PHP mail(). Most forum software (phpBB, SMF, MyBB, Discourse and others) can send through an authenticated SMTP account, which delivers much more reliably.
- Use a real "From" address on your domain, such as noreply@ or community@yourforum.com, that matches your SPF/DKIM setup.
- Turn on double opt-in for registration (activation emails), which also stops many fake sign-ups.
- Don't over-notify. Default to digests or one email per topic until the member visits again.
- Include an unsubscribe link in notifications and newsletters.
- Clean your list. Stop emailing addresses that bounce.
Test it
Register a test account with Gmail, Outlook and Yahoo addresses. Check whether the activation email arrives in the inbox, and look at the message headers for "spf=pass", "dkim=pass" and "dmarc=pass".
